Hix Institute Part Time Receptionist

Hix InstituteA wide variety of educational and conservation-oriented programs at the Indianapolis Zoo are managed under the auspices of the Hix Institute for Research and Conservation. A multi-disciplined team of educators, scientists, conservationists, and other Zoo staff develop and implement a far reaching series of programs that have a measurable, significant and positive impact on wildlife and wild places around the planet, and help transform the City of Indianapolis into a community that embraces environmental stewardship as a core value. Indianapolis Zoo is very proud of its ongoing educational programs, online resources, as well as our programs for students, young people, and teachers.

As one of the public’s first contacts with the Zoo, the Receptionist at the Hix Institute must be committed to providing outstanding customer service to external and internal customers. In this year-round, part-time hourly position, the Receptionist answers and returns phone calls in a polite, prompt and professional manner; greets visitors to the Institute; provides assistance with scheduling education programming; and provides administrative support to the HIx Institute staff.

Specific duties include, but are not limited to:

  1. Assisting guests with scheduling educational programming and revising educational programming on the online reservation system, including: Distance Learning, Overnights, Camps, Dolphin In-Water, and Art Adventures.

  1. Completing and distributing information regarding educational programming and rosters to appropriate staff. Completing and mailing or emailing confirmation materials to participants.

  1. Managing the reception area, keeping it neat, clean, orderly and supplied. 

  1. Managing the rental of educational suitcases and kits available through the Hix Institute. Ensuring that items removed are returned for future use. 

  1. Overseeing the communication of room set-ups with Grounds Maintenance to insure the proper room set-up for each program. Printing building’s scheduled events on a weekly basis and being aware of Hix Institute space being utilized.

  1. Emailing Security Department weekly to confirm Hix Institute evening events.

Knowledge, Skills, and Abilities required:

●  Extraordinary aptitude for dealing with people, always maintaining a friendly, courteous, and professional demeanor.

●  Strong organizational and problem solving skills.

●  Excellent oral communication skills.

●  Proficiency in accuracy, detail, and follow-up.

●  Ability to work under pressure.

●  Ability to assess situations and use good procedural judgment and follow through.

●  A minimum of two years telephone customer service experience required.
